FTE Utilization Report

 

HomeTrak Companion includes a Analysis Report to calculate your number of full-time and full-time equivalent employees under the American Affordable Health Care Act. This report is in the form of a pivot grid which is found in the Analysis Reports Module under the Schedule Analysis tab.

To run the report, click on the FTE Utilization tool in the ribbon, then select your office in the Find Area and set the date range for which to run the report.

Important: This date range should always consist of full months for the results to be calculated correctly, as the FTE is determined on a monthly basis. Click on the View Data button to load the grid.

By default, the resulting data is grouped into two sections based on the FTE status. Full-time caregivers are those caregivers who work more than 130 hours in a given month. Caregivers working less than 130 hours in a month will be calculated as a Full-Time Equivalent (FTE) percentage.

The grid contains four columns of data:

Utilization

This ratio is calculated as the caregiver's total hours divided by 130. You can use this information to see if your caregivers are nearing full-time status.

Total Hours

The caregiver's total hours per month, including travel.

Hours from schedules with an "Unavailable" Service (Call Type) are NOT included in the total as this is intended to be used with non-worked schedules like Sick time, Vacation or other Paid Time Off schedules, etc. 

FTE Factor

This column expresses the caregiver's Full-Time Equivalent value per month.

For Full-Time caregivers, this is always 1.

For FTE (non-full time) caregivers, this is calculated as a ratio of their total hours per month divided by 120 hours.

FTE Total

This column is the FTE Factor value divided by the number of months in the date range. When totaled for an individual caregiver, this gives a correct average of their FTE value for the entire report range.

Use the totals from this column to determine your total Full-Time and FTE numbers for reporting.
