Client Census as of a Specific Date

The following are instructions on how to get a Client Census as of a specific date (usual last day of the year). Using Achievements and the Clients Status Screen Report.

Pre-Requisite: Must have Achievements setup in Agency Office.

How to Add Achievements

  • From the Main screen click on Setup then click Agency Office.
  • Next, click the Documentation tab then click Achievements.
  • Click the Multi-Add button.
  • The Achievement Goal screen appears. Next click on Client: Active Count and any other Achievement Types you want to track, then click Save.

How to get the Active Client Count for a specific week

  • Next, from the Main screen click on Reports and then click Analysis.
  • Click on the Achievement, then click the Achievements icon to select the report.
  • Set the Date Range to the last week of the year because the achievements are based on a week not a day.

EXAMPLE:  Date Range: Dec. 29/2014 to Jan. 3/2015 - Click View Data.

  • This will give you the count for that week. In my example the Client Active Count = 35


  • Next you will need to subtract the number of active clients add on the dates Jan 1, 2, and 3rd.  
  • To get the number of active clients add on those dates we will use the Clients Status Screen Report.

How to get the Number of Active Client for a specific date range

  • From the Main screen click on Reporting and then click Screen Reports.
  • Next, click Clients then click Status.
  • Set the Date Range to Jan. 1st to Jan. 3rd. and the Filter to Active Only. This will give the total number of active clients added on these days (Jan 1st, 2nd and 3rd).

  • You will subtract the total number of Active Clients on Jan 1st to Jan. 3rd  from your Achievements - Client Active Count to give you the census on Dec. 31st, 2014.

In this example the Client Active Count = 35 - 0 (zero) the Active Clients on Jan 1st to Jan. 3rd which equals 35 Active Clients as of Dec. 31st, 2014.
