How can I use an Office Contract for a Client Schedule?

Office Contracts are authorizations that can be used to create non-billable schedules for any client. These schedules are usually for rare or one-time occurrences for
which you don't want to create a client contract.

When Might I Use an Office Contract on a Client Schedule?

Whenever you have a non-billable schedule, such as:

  • introductory or orientation session
  • training schedule
  • client evaluation schedule
  • a rare or one-time schedule for which you don't want to create a client contract, and won't be billed to the client
Only use office contracts for schedules that are Only Payroll/No Billing, or No Payroll/No Billing. If you intend to bill for the schedule, you should use a client
contract that has the payer specified.

To create a client schedule using an office contract:

1. Add the schedule in the usual way, from either Daily Schedules or the calendar modules. Select the Client, Caregiver and planned date/time/length.
2. Click on the drop down menu next to the Contact (Authorization) drop down and click on the Office Contracts item.

3. Choose the desired authorization from the list and click Save. Both Payer and Call Type fields are filled in.

4. Verify the Hour Code for this schedule. By default, the Hour Code field displays the option for the selected contract. The Hour Code should be set to either "Only
Payroll, No Billing" or "No Payroll, No Billing".
5. Save the schedule.

Schedules created with Office Contracts are processed in the usual manner through the Actual Hours, Finalize and Payroll Modules.
