How to Import People or Organizations into Companion

We can import people and organization demographic information from the following software packages:

  • QuickBooks
  • QuickBooks Online
  • Act!
  • Outlook
  • Excel

The Import Module is accessed from the menu at the top left of the Main Module.

From the Main screen click on the menu, then click Import People or Organizations under the Options sub menu.

To import or export data between QuickBooks and Companion, you must first have the QuickBooks Interface set up in the Agency Office Module.

During the import/export, QuickBooks must be running with the appropriate company file open, and the QuickBooks Connector program must also be running. This connector program can be started from the menu in the Main Module of Companion.

In the Import Information Module, click on the QuickBooks icon on the ribbon and select which type of people you want to import: Customer, Employee or Vendor

The system will load the matching people from QuickBooks into the grid.

You then have the option to un-check any people you do not want to import into Companion. Names that already exist in Companion will be marked with a check box in an "Exists" column, and will be default not be checked to import.

Re-importing a person that already exists will update the demographic information of the existing person.

Next, click on the Import To tab on the ribbon then click the icon that represents the area you want to import the people to. This will complete the process and import the selected people.

  • If you are importing Customers you will want to click on Client.
  • If you are importing Employees you will want to click on Caregiver.
  • If you are importing Vendors you will want to click on Caregiver.

Repeat these steps for each type of person you want to import into Companion.

Use one of the template files found in the links at the right-hand side of this page to create your import files.

These files are also embedded in Companion's install under the menu in the Import Information Module.

Fill out all of the necessary information in the import template.

The following information can also be imported and attached to the imported person's profile if the value in the spreadsheet column matches an item in the master list in User Defined:

  • Languages
  • Category
  • Classification Category + Classification Item

Status types and dates can be set in the spreadsheet, or the date will default to the current date if not specified, and the status category to "Active" if not specified, or if the given value is unrecognized.

Organizations listed in the "Associated With Organization" column will automatically be added as a relationship for the imported person(s) and also be added as a top level Organization in the Relationship Management Module.

When importing large lists of people or organizations into the system, you should create a separate file for each type of person (Client, Caregiver, etc.) to import rather than multiple sheets in a single workbook.

Companion will always read data from the first sheet in the workbook.

Next, click Excel on the ribbon which will open a windows dialog box where you will change the location to where the Excel import template file has been stored.

Browse to the location of the file and click Open to read the file into Companion. 

Once the file is loaded you can click on the Import To tab at the top of the screen and choose which how to import the selected people.

The Excel file you are importing from must be closed or the contents cannot be read.

The system will load all of the people from the Excel file into the grid.
