Billing Rates established in the Client Module will only apply to schedules where the Client is the payer. If a third party (such as an insurance company) is the payer, then enter the Billing Rates on their record in the Payer Module.

  1. Go to the Module.
  2. Select the Person or Organization for whom you want to setup a Billing Rate, so their information is displayed on the screen.   
  3. Click the Scheduling Setup tool and select the Billing Rates tool to display any current billing rates. (A blank screen indicates that no billing rates are established for this person/third party payer and the system will instead use the billing rates setup in the Agency Office Module.)
  4. Click the Add tool.
Field
Explanation
Valid From/To
By default, today's date is the Valid From date. There is no need to change the dates unless there is a specific time frame this rate should be valid. The rate is valid from 12:00am of the From Date through 11:59pm of the To Date.  
Rate Type
Choose the correct Rate Type for the billing rate you are entering.
Call Type
Choose the correct Call Type for the billing rate you are entering.
Caregiver (optional)
Leave this field blank, unless this billing rate is to be used only when the specified Caregiver is assigned to the schedule. In most cases, this field should be left blank so the system will bill this rate regardless of which Caregiver is working the schedule.

5.  Now click the Edit All tool in the Shift Summary panel to add the Rate. Click Save.

6.  Click Save to close the Billing Rate screen.

When Billing is calculated, the most specific rate available will be chosen (i.e. Caregiver-specific first, then Call Type-specific, then Rate Type-specific).

If multiple matching Billing Rates with overlapping effective dates are found when calculating Billing for a Schedule, the Rate with the tightest effective date range is used.
