Schedules, Appointments and Tasks can all be created as recurring events. Documented Events cannot recur.

Option 1: From the Relationship Management Module:

  • Open the Relationship Management Module. Select the record of the person for whom you want to set up a recurring event.
  • Click on the Recurring Events tool under the Scheduling drop down in the ribbon at the top of the screen.
  • Click on the appropriate tool under the Add drop down on the toolbar to add the corresponding type of recurring event (Schedule, Appointment or Task).

Option 2: From the Calendar Module:

  • Open the Calendars Module and select the record of the person for whom you want to set up a recurring schedule. Their calendar will display on the screen.
  • Click on the date on the Calendar you want the first schedule to take place.
  • Click on the appropriate tool under the Add drop down on the toolbar to add the corresponding type of recurring event (Schedule, Appointment or Task)

NOTE: The calendar is also available within the Relationship Management Module under the Scheduling drop down in all tabs.

Setup the Template for the Recurring Event

In the setup screen for the recurring event, enter the basic information for the schedules that will be created. The basic required information is the same as for a stand-alone event of the same type.

Many items such as Extra Charges, Pay and Bill overrides and Notes will be copied to schedules created from this recurrence master. Documented Events attached to the recurrence master will not copy and only exist on the master record.

Set the Pattern for the Recurring Event

To create events based on the recurrence master, the pattern for creating the new events must now be set.

A recurrence may be created with a simple weekly pattern using one of the Quick Entry options in the ribbon, or a specific pattern may be configured by directly editing the Recurrence Pattern.

To create a Recurrence using a Quick Entry pattern (Recurring Schedules only):

To quickly create an open-ended weekly recurrence, check any of the Day of Week check boxes in the ribbon in the "Create Individual Weekly Recurrences for" group.

Also select how often the schedules will occur - "Every (1-4) Weeks". (This will default to creating schedules every week.)

When the recurrence is master saved, this will create and generate a separate recurrence for each day of the week, with no end date. Events will be created out as far as the "Minimum Months to Recur" option in the Date and Time Settings tool in the Agency Office Module, or the end of the Authorization (Contract).

These options are only available when adding a new recurring schedule. For other types of events, or when editing a previously created recurrence master, you will need to directly edit the recurrence pattern if you wish to change how events are generated.

To create a Recurrence by directly specifying the pattern:

If you wish to have the recurrence end on a specific date, or create schedules on a different pattern than a simple weekly pattern, you will need to edit the pattern directly. This gives you very precise control over the recurrence.

Make sure the box "Is Recurrence Active" is checked. Then select the recurrence pattern choices to identify the type of pattern, how often the pattern should occur, and when it should occur.

Recurrence patterns can be:

  • Daily - occurs every X days
  • Weekly - occurs every X weeks, on selected Day(s) of Week
  • Monthly - occurs every X months, on selected Day of Month (1-31)
  • Special Monthly - occurs every X month, on First/Second/Third/Fourth/Last 
    Example: occurring on the Second Saturday of every 2 months
  • Yearly - occurs every X years, on selected date of year
    Example: occurring on February 14 of every year
  • Special Yearly - occurs every X years, on special option of selected month
    Example: occurring on the First Sunday of January of every year

If the interval X is set to 0, no events will be created.

In the section Range of Recurrence, select how long you want the recurrence to run.

  • Select No End Date to create an open-ended recurrence. Events will be created out as far as the "Minimum Months to Recur" option in the Date and Time Settings tool in the Agency Office Module, or the end of the Authorization (Contract).
  • Select End Date if you wish to limit the length of time the schedule will recur and enter the preferred end date.

Generating the Events

Click Save on the screen 'Add/Edit a Recurring Schedule' to save the Recurring Schedule/Master Schedule.
