There are numerous ways to get to the screen Setup a Recurring Schedule. Let's look at the options:

Option 1: From the Client or Caregiver Module:

  • Open the Client or Caregiver Module. Select the record of the person for whom you want to set up a recurring schedule.
  • Click on the Recurring Schedules tool in the ribbon at the top of the screen.
  • Click on the Add tool in the Recurring Schedules toolbar to open the screen Setup a Recurring Schedule.

Option 2: From the Client Calendar or Caregiver Calendar Module:

  • Open the Client Calendar or Caregiver Calendar Module. Select the record of the person for whom you want to set up a recurring schedule. Their calendar will display on the screen.
  • Move your cursor to the date on the Calendar you want the first schedule to take place.

Method 1: Right click your mouse and select the New Recurring Schedule option from the drop down menu. This opens the screen Setup a Recurring Schedule.

OR

Method 2: Look at the Calendar tool bar. Click on the drop down arrow next to the Add tool. Select the New Recurring Schedule option from the drop down menu. This opens the screen 'Add/Edit a Recurring Schedule'.

Setup a Recurring Schedule:
In the screen Setup a Recurring Schedule, enter the basic information for the schedules that will be created.
When should this schedule occur? Enter the first date the schedules should begin, the time of day and length of the schedules.
Who will be involved? Enter the Client for whom this recurrence is being created. You may also enter a Caregiver for this schedule, but this is not necessary to complete the
schedule set up. (If you select a Caregiver, this person will appear as the Caregiver in all schedules created from this Recurring Schedule/Master Schedule.)
Who authorized this schedule? Enter the name of the Payer who will be responsible for payment of these schedules. If you aren?t sure, click on the magnifying glass next
to the Payer field to view all authorizations for this Client. Select the appropriate Authorization, then click OK. Now the Payer and Call Type fields are populated with the
information from the Authorization.

Now you need to add the Recurrence pattern to your Master Schedule:
Click on the Recurrence Tab at the top of the screen 'Add/Edit a Recurring Schedule'. Various recurrence tools are in the ribbon. You can select from one of the Quick Entry
recurrence tools (Entire Week, Weekday, or Day of the Week), or create your own pattern using the Recurrence Pattern tool.
Example: Use the Quick Entry tool Monday, to set up a schedule to recur every Monday.
Use the Recurrence Pattern tool to set up a recurring schedule for every Monday, Wednesday and Friday; or for a schedule to occur on the 15th of every month.

If you select one of the Quick Entry recurrence patterns, you will receive a prompt asking you to verify this schedule pattern. You may receive a warning and errors
message if there is a potential problem with the recurrence. Click Yes to ignore the errors and create the schedules; click No to return to the Recurring Schedule/Master
Schedule and correct any error(s).

The schedules you just created will recur for the entire period the Authorization is valid, unless you specify otherwise. To limit the length of time the schedules will recur, click
on the Recurrence Pattern tool in the ribbon at the top of the screen. The screen Setup a Recurrence will open. In the section Range of Recurrence, click on the End Date
button and enter the date you want the schedules to end.

Click Save to close the screen. Then click Save on the screen 'Add/Edit a Recurring Schedule' to save the Recurring Schedule/Master Schedule.

Now you will be able to see the recurring schedules in the calendars and other schedule module screens.

If you use the Recurrence Pattern tool to create recurring schedules, the screen 'Add/Edit a Recurring Schedule' opens. Make sure the box Is Recurrence Active? is checked. Then
select the recurrence pattern choices to identify the type of pattern, how often the pattern should occur, and when it should occur.

  • Example: For a schedule to recur every other Monday and Wednesday, choose the options Weekly, occurs every 2 weeks, Monday and Wednesday.
  • For a schedule to recur the first Friday of every month, choose the options Special Monthly, then First, Friday, of every 1 Month.

In the section Range of Recurrence, select how long you want the recurrence to run. Select No End Date if the recurrence is to run the entire period the Authorization is valid.
Select End Date if you wish to limit the length of time the schedule will recur and enter the preferred end date.

Click Save to close the screen. Then click Save on the screen 'Add/Edit a Recurring Schedule' to save the Recurring Schedule/Master Schedule. You may receive a warning and
errors message if there is a potential problem with the recurrence. Click Yes to ignore the errors and create the schedules; click No to return to the Recurring Schedule/Master
Schedule and correct any error(s).

Now you will be able to see the recurring schedules in the calendars and other schedule module screens.
