Add Documented Event Categories

A Documented Event is used to record any type of event that has happened.  

Documented Events may be beneficial by documenting significant events (good or bad) involving clients and/or caregivers or as a marketing tool to document the minutes of a meeting or conversation with referral sources.

Example: If a client called to report a rude or excellent caregiver, you can document the call and the information will appear in the profiles of both parties. You can run reports on Documented Events. The Documented Events report will assist you in many tasks, including yearly caregiver evaluations and setting up caregivers’ schedules.

As Documented Events are usually in reaction to events that have already occurred and not scheduling items, they do not block time in the system. Another Event can be setup for exactly the same time frame and the system will not alert you to schedule conflicts.

To add a new Documented Event Category to the master list in the User Defined Module:

  1. Open the User Defined Module. Click on the Documentation drop down tool on the ribbon and choose Documented Event Categories.   
  2. Click on “Add in the toolbar. Fill out the required fields on the screen that appears and click Save to add the new Documented Event Category.

The name of the Documented Event Category (Example: Caregiver No-Show)

(Optional) Choose a specific image for easier identification in the Master List. 

Sort(Optional) Assign a specific numeric value to change the order of the item in the list.
TouchA “Touch” represents interactions with your referrals and organization contacts. Check the “Touch” checkbox on appropriate event categories to be able to track your contact with these organizations. Touches with your referral contacts are tracked and reported in the Reporting Module under Analysis Reports > Referrals > Times Contacted.

(Optional) Additional information about this category. 

Default Length

(Optional) Default length (in minutes) of a Documented Event. When setting up a new Documented Event, the length will automatically be set to the Default Length when the category is selected. If the Default Length is 0, then the Event’s length will not be reset when choosing this category. 

Display for

(Optional) Limit the types of people that this Documented Event Category applies to. If any of the types are checked off, then this category will only be selectable when setting up a Documented Event where the Primary Person is the selected type(s) (e.g. Client). If nothing is checked, then this category can be selected any time you create a Documented Event, for any type of person.

Billable

Choose an appropriate option from the drop down tool to specify whether this event is going to be billed to a client. Used with the “Billables” feature to mark event types that can be billed to a client.
