Password Protect a Report

HomeTrak Companion gives you the ability to apply a password to any report that is emailed. This provides additional data security to the information that has been emailed.

Passwords can also be applied to calendars emailed in PDF format. Passwords cannot be applied to calendars sent in HTML (Web Page) format.

To password protect a report:

When running a report to attach to an email, a Report Options screen is displayed prior to generating the report. In the general options section at top left, there is a password field. To use a password that has already been set up, use the drop-down to choose it.

To add a new password, click on the magnifying glass icon on the right side of the field. This opens a window where you can configure the list of passwords.

To add a new password, click the Add button on the toolbar. (Note: the master list of Report Passwords can also be edited and maintained in the User Defined Information module.)

Name the set up and fill in the password fields.

The User Password controls access to the document and should be filled in to protect the document. You can use any of the Tag Names listed in the table below. NOTE: When you type in this field it will only show ' * ' (asterisks) as the passwords are encrypted.

The Owner Password is optional and allows full permissions on the file. NOTE: When you type in this field it will only show ' * ' (asterisks) as the passwords are encrypted.

Unique tags can be used to create dynamic passwords. These tags are based on the person or organization for whom the report is generated (whose information is in the report). See list below with explanation.

<BirthYear>Birth year. (4 digits) Example: 1958

<EmpNum>Social Security Number (SSN).
<EmpNum3>First 3 digits of the Social Security Number (SSN).
<EmpNum-3>Last 3 digits of the Social Security Number (SSN).

For Example: Let's say we set up a password of "pass<ID-3>" to used when generating a report. If we generate a schedule report for caregiver Ashley Stevens whose ID code is 000143, the password "pass143" would have to be entered to open the document. ("pass" plus the last three digits of her ID code.)

Optional: You can set the sort order and add an image to the password(s) in the list.

 

There are several additional security options. (In most cases, you will use the default values for these options.)
