How do I create a non-visit schedule?

In many cases, you will want to create schedules for your caregivers where there is no client. These non-visit schedules may be for training or orientation sessions at the
office, where no client is involved. If you wish to use Companion to pay for Vacation or other paid time off, you can use non-visit schedules to track this as well.

 

 From Schedule Review Module...
  1. Click the Add Schedule button on the toolbar.
  2. Enter the correct date, time and length for the planned time of the schedule
  3. Click the magnifying glass next to the Client field. In the dialog that appears, use the Scenarios drop down menu to change the list from "All Clients" to "Current Office." Select the office and click OK.
  4. Click the magnifying glass next to the Caregiver field. Select the correct caregiver from the dialog that appears and click OK.
  5. Select the desired Contract.
  6. Verify the Hour Code (whether the schedule will apply to both Billing and Payroll). By default, the Hour Code field displays the option for the selected authorization.
  7. Save the schedule.
 From the Caregiver Calendar...

Select the day on the calendar on which to create the schedule.

  1. Right-click on the day in the calendar you wish to create an office (non-visit) schedule.
  2. Choose New Schedule, then Add new Office (Non-Visit) Schedule. The new schedule is already pre-populated with the date, office name and caregiver.
  3. Enter the Schedule time and length.
  4. Select the desired Authorization.
  5. Verify the Hour Code (whether the schedule will apply to both Billing and Payroll). By default, the Hour Code field displays the option for the selection Contract.
  6. Save the schedule.

Unavailable Services

A call type may be given a status of Unavailable. This is helpful for creating schedules for vacation, paid time off, etc. When creating a Schedule with an Unavailable Service you will be prompted to remove the scheduled caregiver from any conflicting schedules. After the caregiver has been removed from the schedules, you can find these open schedules in Daily Schedules or the Client Calendar and search for a replacement caregiver.

Example: A caregiver already has schedules for Monday. You create a new schedule using an Unavailable service (e.g. Vacation) for that caregiver for Monday. The system will
prompt you to automatically remove the caregiver from any conflicting schedules.

To mark a Service as Unavailable:

  • Go to the Agency Office Module. Click on the Scheduling tab, then the Call Types tool in the main ribbon.
  • Select the Service you wish to make unavailable. Click on the Edit tool.
  • In the Status field, choose Unavailable from the drop-down list. Click Save.

Office-Use Services

Another Service status that you may wish to use is "Office Use." Office Use Services are similar to Active call types however using the status "Office Use" for non-visit services allows you to separate them from those services with an "Active" status.


NOTE: In some systems, Contract and Service may be referred to as Authorization and Call Type, respectively.
